Vendor Compliance Specialist

Vendor Compliance Specialist will ensure on-site vendors follow the company’s insurance and nondisclosure/confidentiality policies. This includes requesting and validating certificates of insurance and endorsements for accuracy and completeness. Overseeing record keeping and managing all insurance special requests. Responsible for reviewing event contracts, specifically non-disclosure, confidentiality, hold harmless, indemnification and insurance clauses; flagging issues of concern and non-compliance. This is a salaried, remote, full-time position with benefits (45 hours per week).

Responsibilities:

  • Maintain new sub-contractor and vendor files, collect W-9 forms and other required documents; assist with the preparation of 1099 forms annually
  • Monitor new vendor report weekly for compliance, manage new vendor vetting process
  • Manage vendor insurance documentation; reach out to vendors to request new or updated Certificates of Insurance with endorsements, and Vendor Insurance Agreements
  • Upload Certificates of Insurance and Vendor Insurance Agreements to the vendor’s Quickbase profile
  • Assist vendors and clients to secure special event insurance policies, when needed
  • Manage vendor non-disclosure and confidentiality agreements; reach out to on-site vendors to request event specific requirements
  • Working closely with the event staff, prepare event reports to summarize insurance, non-disclosure and confidentiality documents have been received from all on-site vendors; requirements will vary based on event
  • Setup and hold weekly meetings with REM Project Managers to track progress of required insurance documentation for each event
  • Assist Finance Director with REM’s annual insurance applications, insurance audits and liability claims
  • Review vendor contracts to ensure compliance with REM’s policies to avoid improper assumption of risk; communicate directly with the maker alternative contractual language and potential solutions
  • Identify new exposures and risk concerns
  • Prioritize assignments in accordance with guidance while meeting established deadlines
  • Identify and act on problems focusing on organizational & client’s protection
  • Work independently while contributing to a team environment
  • Support management policies to increase efficiency while ensuring quality and safety; communicate enhancement concepts to existing processes
  • Assist in maintaining and fostering relationships with REM’s preferred vendors
  • Assist with special projects as assigned

Requirements:

  • Bachelor’s degree preferred
  • Minimum of 2 years’ experience in a similar role.
  • Excellent organizational and communication skills, thorough and confidential
  • Able to work independently and as a supportive team player.
  • Strong attention to detail and ability to multitask.
  • Qualified candidates must be proficient in Microsoft Office.
